Coby is an AI assistant built for adult day care centers — facilities where elderly members come in during the day for supervised care, and staff spend as much time on paperwork as they do on people.
Nolan, their CTO and sole developer, came to us with a clear product vision but no design system, no brand, and no way to make the platform feel approachable for its primary users — older staff with limited tech fluency. The scope grew fast: what started as a care plan generator quickly expanded to cover attendance tracking, automated billing, task management across staff roles, and a full credential compliance system to keep centers audit-ready for insurance and the U.S. Department of Health.
We built everything from scratch — logo, illustration style, full product design — with a guiding principle: every feature had to go through AI first. The care plan flow is where that showed up most clearly. Instead of staff manually filling out lengthy documents required by federal health guidelines, Coby guides them through a structured conversation with the member, then auto-populates the plan from those responses. The Credential Compliance module tackled a different pain point: centers were losing insurance reimbursements because documents expired or had errors. We designed a system that surfaces problems clearly — flagged documents, expiry timelines, rejection workflows — so nothing slips through. To help new users get up to speed, we also produced onboarding materials and pitch decks to support Nolan’s fundraising.
Coby launched with real clients while we were still iterating — their feedback shaped the final product. The result: a platform that automates the most tedious parts of running a care center, and gives staff the time and headspace to actually focus on the people they’re there for.
